Fleet & safety
Know what expires before it does.
Every truck, trailer and driver card keeps its papers and dates. THENEKAS warns 30 days ahead, emails the people who handle it, and keeps maintenance, accidents and roadside inspections on record.
Never stored: Social Security numbers, drug or alcohol test results, medical records.
What's in it
The fleet's paperwork, with dates that warn you
Units and people are never deleted: a sold truck or a driver who left stays on record with its history.
Trucks and trailers
Unit, VIN, plate, ELD ID, ownership, trailer type, and papers like the annual inspection and registration with their expiry dates.
Driver cards
CDL, medical card, MVR and Clearinghouse dates, hire date and status: applicant, hired or terminated. Applicants stay out of dispatch.
CDL photo read by AI
Upload the photo and the CDL number, state and expiry fill in for you to check before saving. Drivers' papers open once your company is verified with FMCSA.
Warnings and emails
A warning on cards and lists 30 days before a date, and a daily email to the owner, the fleet manager and safety when one comes due.
Maintenance
Preventive maintenance rules by days or miles, and work orders with their lines. A finished work order becomes an expense.
Safety register
Accidents with injuries, fatalities and hazmat, and roadside inspections with violations, out-of-service orders and DataQs, with their papers.
Trailers & yards
Where every trailer is, and which one sits too long
Mark a stop as drop, hook, or drop and hook, and the trailer moves when the driver marks that stop. Dispatch can also hook a trailer to a truck, drop it at one of your yards or at an address, or send it to the shop. Its place is always its last move.
- A trailer dropped longer than your idle days (7 unless you pick 1 to 90) is highlighted
- The owner and the fleet manager get an email and a bell when one goes idle
- Every move is on the trailer's history; a wrong one can be taken back within 24 hours
Driver papers
A CDL photo opens for 60 seconds, and every look is logged
CDL and medical card photos are private, so they never open as a plain file. Each view is a one-time link that works for 60 seconds, the viewer confirms it's them if they signed in more than 10 minutes ago, and the view goes into the activity log.
- The owner, safety and the fleet manager open them, unless the owner gives the right to someone else
- More than 20 views in an hour are stopped, and the owners get an email
- Everyone else sees the CDL number as ••••4821
Safety
The accident register and every inspection, in one place
Record DOT-recordable accidents with what 49 CFR 390.15 asks a carrier to keep, and every roadside inspection, clean ones included. Violations, out-of-service orders and DataQs requests stay with their inspection, with the report attached.
- Safety and the owner write; the fleet manager reads
- Records are closed, never deleted, while the company exists
- Every change is in the activity log
How it works
Set it up once, then let the dates call you
- 1
Bring the fleet in
Import trucks, trailers and drivers from Excel or CSV, or add them one by one.
- 2
Add papers and dates
Inspection, registration, CDL, medical card. A CDL photo fills in its own fields.
- 3
Get warned
On the cards, on the lists and by email, from 30 days out.
- 4
Keep the record
Log work orders, accidents and inspections as they happen.
